What Does a Month-of Wedding Coordinator Actually Do? Toronto Guide
Share
You’ve booked the venue. Your vendors are secured. The invitations are out. You’ve spent months making decisions, answering emails and building your wedding day.
Then, as the wedding gets closer, a new question comes up:
Who is actually going to manage all of this on the wedding day?
That’s where a month-of wedding coordinator comes in.
Month-of coordination is ideal for couples who are comfortable planning their own wedding but want a professional to step in toward the end of the process, organize the final details and manage the wedding day itself.
And despite the name, month-of coordination is much more than simply showing up on your wedding day with a clipboard.
Here’s what a month-of wedding coordinator actually does—and why the service can be particularly valuable when planning a wedding in Toronto or the GTA.
What Is Month-of Wedding Coordination?
Month-of wedding coordination bridges the gap between planning your own wedding and professionally executing it.
You remain responsible for the majority of the planning: selecting your venue, hiring vendors, choosing your design, making purchasing decisions and managing your wedding budget.
As the wedding approaches, your coordinator steps in and begins bringing all of those individual pieces together.
Think of it this way:
You planned the wedding. Your coordinator makes sure the plan actually happens.
The exact scope varies between wedding companies, so it's important to review what's included before hiring a coordinator.
When Does a Month-of Wedding Coordinator Start?
The name can be a little misleading.
A professional coordinator needs time to understand the wedding you've spent months planning.
They need to know your vendors, timeline, venue logistics, wedding party, family dynamics, ceremony details, décor plans, transportation arrangements and any special traditions or moments you've planned.
That's why the transition generally begins several weeks before the wedding, rather than the morning of the wedding itself.
At Poppin' Petals, this is the stage when we start taking all of the information you've gathered and turning it into an executable wedding-day plan.
What Happens Before the Wedding?
One of the most important parts of month-of coordination happens before anyone walks down the aisle.
Your coordinator will typically review the details you've already arranged and look for anything that still needs clarification.
Depending on the package, this can include:
-
Reviewing vendor information
-
Confirming arrival and departure times
-
Reviewing venue requirements
-
Reviewing ceremony details
-
Discussing wedding-party responsibilities
-
Confirming transportation logistics
-
Reviewing rentals and décor
-
Organizing personal items
-
Reviewing floor plans and seating arrangements
-
Confirming important family members and contacts
-
Identifying outstanding decisions
-
Building or refining the wedding-day timeline
-
Communicating final logistics to vendors
This process is incredibly important.
Individual vendors often understand their part of the wedding.
Your coordinator needs to understand how all of those parts interact.
Your Coordinator Creates the Wedding-Day Timeline
A professional wedding timeline isn't simply a list of times.
It's a logistical roadmap.
For example, if your ceremony begins at 4:30 p.m., we need to work backwards.
When does the wedding party need to arrive?
When should family photos happen?
When does the photographer need the details for flat lays?
When does hair and makeup need to finish?
When should transportation depart?
When does the florist need venue access?
When does the DJ need to be completely set up?
When do guests begin arriving?
And then we need to look forward.
When does cocktail hour begin?
When are you taking photos?
When does the reception space need to be ready?
When are introductions happening?
When does dinner service start?
When should speeches happen?
When does the photographer leave?
When is cake cutting?
When does late-night food arrive?
A good timeline considers the entire wedding, not just individual moments.
Your Coordinator Communicates With Your Vendors
As your wedding approaches, there can be a surprising amount of communication.
Your photographer may have a timing question.
Your florist needs to know when they can access the venue.
Your DJ needs ceremony information.
Your bakery needs delivery instructions.
Your transportation company needs exact pickup locations.
Your venue needs final vendor arrival times.
Rather than having every question come back to you, your coordinator can become a central point of communication for wedding-day logistics.
That allows you to start stepping away from the administrative side of your wedding.
What Does a Month-of Coordinator Do on the Wedding Day?
This is where all of the preparation becomes visible.
Your coordinator oversees the flow of the wedding and handles logistical issues behind the scenes.
Depending on your wedding and coordination package, that can include:
-
Checking in with vendors
-
Overseeing vendor arrivals
-
Confirming spaces are set according to plan
-
Coordinating personal décor and details
-
Checking ceremony setup
-
Organizing the wedding party
-
Cueing the ceremony processional
-
Communicating with the officiant and musicians
-
Keeping photography and transportation timing on track
-
Coordinating the transition into cocktail hour
-
Checking the reception setup
-
Communicating with catering and venue staff
-
Cueing entrances, speeches, dances and other formalities
-
Monitoring the timeline throughout the evening
-
Helping facilitate décor transitions or repurposing
-
Troubleshooting unexpected issues
-
Keeping vendors informed if timing changes
-
Making adjustments when necessary
Most importantly, you aren't the person doing these things.
Neither is your mom.
Neither is your maid of honour.
Neither is the friend who volunteered because she's “really organized.”
Your family and wedding party get to be guests too.
Wedding Coordinators Solve Problems You May Never Know Happened
One of the less visible parts of wedding coordination is troubleshooting.
Weddings are live events.
Even beautifully planned weddings rarely unfold to the exact minute.
A vendor may be delayed.
A boutonnière may go missing.
Transportation may hit Toronto traffic.
A speech may run longer than expected.
A guest may sit at the wrong table.
A rental item may be missing.
Weather may force a last-minute ceremony decision.
Your coordinator assesses what's happening, communicates with the appropriate people and adjusts the plan.
Often, the couple never needs to know there was a problem.
That's exactly the point.
Your Timeline Will Probably Change—and That's Okay
This is something I think couples sometimes find surprising.
A wedding timeline isn't meant to make your wedding feel rigid.
It's actually what gives us the ability to be flexible.
If photos run 15 minutes late, we can look at the rest of the evening and determine where that time can be recovered.
If speeches are shorter than expected, perhaps we can move another moment forward.
If sunset is particularly beautiful, we may work with the photographer and venue to find a few extra minutes for portraits.
The timeline gives everyone a shared framework.
Then your coordinator manages that framework in real time.
Does a Wedding Coordinator Set Up Décor?
Sometimes—but don't automatically assume they do.
This is one of the questions you should ask before hiring a coordinator.
There is a difference between placing a few personal items and installing an entire wedding.
Items such as:
-
Guest books
-
Place cards
-
Table numbers
-
Menus
-
Favours
-
Welcome signs
-
Reserved seating signs
may be included depending on the coordinator's package.
But significant floral installations, rental setups, large décor installations or extensive teardown may require separate staff or vendors.
Always clarify exactly what setup and teardown are included in your coordination package.
Month-of Coordinator vs. Venue Coordinator
These roles are often confused, but they serve different purposes.
Your venue coordinator is responsible primarily for the venue and the services it provides.
Your wedding coordinator is looking at the wedding as a whole.
That may include your photographer, videographer, florist, DJ, officiant, transportation, wedding party, family members, ceremony, personal items and overall timeline.
Many Toronto venues have fantastic coordinators, and we work closely with them.
The roles complement one another.
They simply aren't interchangeable.
If you're unsure about the difference, our guide to Venue Coordinator vs. Wedding Planner explains the roles in greater detail.
Month-of Coordination vs. Full Wedding Planning
The biggest difference is who is responsible for planning the wedding.
With month-of coordination, you do the planning.
With full-service planning, your planner is involved throughout much more of the process.
A full-service planner may assist with:
-
Budget development
-
Venue selection
-
Vendor sourcing
-
Contract guidance
-
Design development
-
Rental selections
-
Floral and décor decisions
-
Planning meetings
-
Logistics
-
Guest experience
-
And the many decisions that happen throughout the planning process
Month-of coordination assumes that most of those decisions have already been made.
If you enjoy wedding planning and have the time to manage it, coordination can be an excellent fit.
If you're looking for someone to guide those decisions from the beginning, full planning may make more sense.
How Much Does a Month-of Wedding Coordinator Cost in Toronto?
For Toronto and GTA weddings, month-of coordination can generally range from approximately $2,000 to $4,000+, depending on the coordinator's experience, the size and complexity of the wedding, the number of hours required and whether additional team members are needed.
Pricing may also be affected by:
-
Multiple venues
-
Large guest counts
-
Early ceremony starts
-
Extensive setup requirements
-
Cultural or religious ceremonies
-
Additional assistants
-
Long wedding days
-
Travel outside the coordinator's regular service area
-
Multiple ceremonies or significant transitions
When comparing coordination packages, don't look only at the price.
Look carefully at what is actually included.
A less expensive service with limited preparation and fewer wedding-day hours may be very different from a comprehensive coordination package.
When Should You Book a Month-of Wedding Coordinator?
Don't let the words “month-of” fool you into thinking you should wait until a month before your wedding to hire one.
Popular Toronto wedding dates can book well in advance, particularly Saturdays during peak wedding season.
If you already know that you don't want yourself, your family or your wedding party managing the wedding day, you can secure your coordinator much earlier.
Then you have the reassurance of knowing that professional support will be there when you need it.
Do You Need a Month-of Wedding Coordinator?
You may want to consider coordination if:
-
You're comfortable planning your own wedding
-
You've already booked most of your vendors
-
You don't need ongoing planning support
-
You want someone to create and manage the wedding-day timeline
-
You don't want family or friends responsible for logistics
-
You have several vendors who need to be coordinated
-
Your venue doesn't provide full wedding coordination
-
You want to actually enjoy your wedding rather than manage it
One question I like couples to ask themselves is:
“Who do I want answering vendor questions on my wedding morning?”
If the answer isn't you, your parents or your wedding party, professional coordination may be worth considering.
Is a Month-of Wedding Coordinator Worth It?
For couples who have done the planning themselves, month-of coordination can be one of the most valuable investments they make.
You've spent months—or sometimes more than a year—planning the wedding.
You've invested in a venue, food, photography, entertainment, florals, attire and dozens of other details.
Coordination is about making sure all of those investments come together.
As both a wedding planner and floral designer, I see firsthand how interconnected wedding logistics really are.
A beautiful room doesn't matter if guests aren't directed into it at the right time.
Beautiful ceremony flowers need a plan if they're being repurposed.
A photographer can't capture a moment they don't know is happening.
A carefully designed timeline only works if someone is actively managing it.
Planning creates the wedding. Coordination brings it to life.
