How to Plan a Luxury At-Home Event in Toronto: A Planner’s Guide

There is something incredibly special about celebrating at home.
Whether you're planning a milestone birthday, anniversary, engagement party, bridal shower, intimate wedding, dinner party or another important celebration, hosting at home creates an atmosphere that a traditional event venue simply can't replicate.
It's personal. It's intimate. And the setting already means something to you.
But there's one important thing to remember:
Your home wasn't designed to be an event venue.
That's where thoughtful planning becomes incredibly important.
When we plan and design private events in Toronto and the GTA, we're not simply thinking about beautiful tables and flowers. We're looking at how guests will arrive, where catering will operate, how people will move through the space, where rentals will go and what happens if the weather changes.
The goal is to transform your home into an event space—without losing what made you want to celebrate there in the first place.
Here's what you should consider when planning a luxury at-home event.
1. Start With the Guest Experience
Before selecting flowers, linens or even a menu, think about how guests will experience your home.
Walk through the event from their perspective.
Where will they arrive?
Where will they leave coats?
Where will they get their first drink?
Where will they gather?
Where will they eat?
Where are the washrooms?
Where will they go after dinner?
If you're using both indoor and outdoor spaces, how will guests move between them?
A beautiful event should also feel intuitive.
Guests shouldn't constantly wonder where they're supposed to go next.
For private events, flow is part of the design.
2. Determine How Many Guests Your Home Can Comfortably Accommodate
Just because you can physically fit 80 people into a space doesn't necessarily mean you should.
Guest capacity needs to consider more than square footage.
We look at things like:
- Dining tables and chairs
- Cocktail areas
- Bars
- Catering stations
- Entertainment
- Floral installations
- Walkways
- Washroom access
- Existing furniture
- Service pathways for staff
A space that feels beautiful with 50 guests can feel completely different with 75.
Sometimes reducing the guest count slightly allows you to create a significantly more elevated experience.
3. Create a Floor Plan Before Ordering Rentals
At a traditional event venue, much of the infrastructure already exists.
At home, you're essentially creating a temporary venue.
That means your floor plan should come before you finalize many of your rentals.
You'll need to determine where tables, chairs, bars, lounges, catering stations and other elements will actually fit.
And measurements matter.
A table may technically fit in a space while leaving too little room for guests or catering staff to move comfortably around it.
Good event design isn't simply about making everything fit.
It's about giving everything enough space to function.
4. Decide What Furniture Stays—and What Goes
One of the easiest ways to make an at-home event feel intentional is to rethink the furniture that's already there.
You don't necessarily need to empty the entire house.
In fact, incorporating beautiful existing pieces can help preserve the personality of the home.
But some furniture may need to be moved temporarily to create better guest flow.
A dining room might become a cocktail lounge.
A living room may become part of the dinner space.
An outdoor terrace might become the bar.
A backyard may need to accommodate a tent, dining tables and entertainment.
We're looking at the property differently than we would on an ordinary day.
5. Think About What Your Caterer Actually Needs
Catering is one of the biggest logistical considerations for private events.
Your kitchen may be beautiful—but it may not be designed to produce and serve dinner for 60 people simultaneously.
Talk to your caterer about:
- Food preparation space
- Refrigeration
- Oven requirements
- Water access
- Electrical requirements
- Staging areas
- Dishwashing
- Garbage
- Staff access
- Loading and unloading
Depending on the event, the caterer may require a separate prep area or temporary kitchen.
This is something that should be determined well before the event rather than discovered during setup.
6. Rentals Are Often What Transform a Home Into an Event Venue
At-home events frequently require more rentals than people initially expect.
Depending on your celebration, you may need:
- Dining tables
- Chairs
- Cocktail tables
- Lounge furniture
- Linens
- Napkins
- Dinnerware
- Flatware
- Glassware
- Bars
- Serving equipment
- Lighting
- Tents
- Flooring
- Heaters
- Umbrellas
- Portable washrooms
The rentals aren't simply functional.
They're also a major part of the design.
The right chairs, linens, glassware and table proportions can completely change the way a space feels.
7. Have a Real Rain Plan
For outdoor Toronto events, weather planning is essential.
A rain plan shouldn't be:
“Hopefully it doesn't rain.”
It should be a fully workable alternative.
Can everyone fit indoors?
Do you need a tent?
If you're using a tent, does the property have enough space for it?
Does the ground require flooring?
Where does water drain?
How will guests travel between the house and tent?
Will catering remain protected?
What happens if it's unusually cold—or unusually hot?
Toronto weather can be unpredictable, particularly during spring and fall.
The best rain plan is one you're completely comfortable using.
8. Don't Forget Power and Lighting
This isn't the most glamorous part of event planning, but it matters.
Catering equipment, entertainment, lighting, heaters and other event elements can place significant demands on residential electrical systems.
Your vendors should determine what they require and whether additional power is necessary.
Lighting also changes the entire atmosphere of an event.
For evening celebrations, consider:
- Dining lighting
- Pathway lighting
- Landscape lighting
- Tent lighting
- Candlelight
- Lighting around stairs
- Entrances and exits
- Catering/service areas
- A backyard that looks beautiful at 4:00 p.m. can become very dark at 9:00 p.m.
Lighting needs to be both beautiful and functional.
9. Consider the Washroom Situation
This is another detail that's easy to overlook.
Your home's existing washrooms may be perfectly adequate for a small dinner party.
For a larger event, you need to consider the number of guests, event duration and how comfortable you are having that many people repeatedly moving through private areas of your home.
For larger events, luxury portable washrooms may be worth considering.
They're very different from the portable washrooms people typically imagine and can provide guests with a much more comfortable experience.
10. Plan for Parking and Transportation
Where are your guests going to park?
For smaller events, neighbourhood street parking may work.
For larger celebrations, it may not.
Depending on your location and guest count, you may consider:
- Valet service
- Rideshare
- Shuttle transportation
- Nearby parking
- Designated drop-off areas
- You also need to think about vendor vehicles.
Rental trucks, catering vehicles, florists, entertainment and other vendors may all require temporary access during setup.
A driveway can become surprisingly busy on event day.
11. Think About Your Neighbours
If you're hosting a larger event at home, being considerate of neighbours is simply good planning.
Think about:
- Music volume
- Event end time
- Guest parking
- Delivery vehicles
- Setup and teardown
- Outdoor lighting
- Garbage
Depending on the type and scale of the event, you may also need to investigate applicable municipal rules, permits or noise restrictions.
Your planner and vendors can help identify questions that need to be addressed before the event.
12. Florals Should Work With Your Home
This is where at-home events can become particularly beautiful.
Rather than treating your home like a blank ballroom, we can design with the existing architecture and landscape.
Maybe there's a beautiful staircase that becomes a floral moment.
A fireplace mantel may become a focal point.
A garden can become the backdrop for dinner.
A pool may influence the layout.
An entrance arrangement can immediately tell guests that they've arrived somewhere special.
As both a wedding planner and floral designer, I'm always thinking about proportion.
Flowers shouldn't simply be placed everywhere.
They should highlight the spaces where they'll have the greatest visual impact.
13. Create One or Two Statement Moments
Luxury doesn't necessarily mean filling every surface.
Often, an event feels more elevated when the budget is concentrated strategically.
Instead of placing a little décor everywhere, consider creating one or two memorable moments.
For example:
- A dramatic entrance arrangement
- A floral installation over the bar
- A beautifully designed dinner table
- A statement buffet or dessert display
- A floral staircase
- An intimate candlelit lounge
- A tent transformed through lighting and florals
- These moments create visual impact while allowing the rest of the design to breathe.
14. Think About Setup—and Teardown
This is one of the biggest differences between hosting at home and attending an event at a venue.
Everything has to arrive.
And eventually, everything has to leave.
Rentals may arrive a day before the event.
Florists need time to install.
Caterers need to set up.
Furniture may need to be moved.
Deliveries need somewhere to unload.
Afterward, rentals need to be packed.
Florals need to be removed.
Garbage needs to be handled.
Furniture needs to be returned.
The event doesn't end when the last guest leaves.
A detailed setup and teardown schedule is essential.
15. Hire Vendors Who Understand Private Events
Private events require a slightly different mindset than traditional venue events.
Vendors need to be comfortable working without all of the infrastructure they're accustomed to having at a venue.
An experienced private-event team anticipates questions before they become problems.
Where do we load in?
Where is power?
Where can staff park?
Where is the staging area?
What time can rentals arrive?
What happens if it rains?
Who is responsible for teardown?
The more of those questions we answer beforehand, the smoother the event becomes.
What Does a Luxury At-Home Event Cost in Toronto?
There isn't one standard budget because private events vary enormously.
A 25-person dinner party and a 100-person backyard celebration are completely different productions.
Your budget may include:
- Event planning
- Catering
- Rentals
- Florals and décor
- Entertainment
- Staffing
- Lighting
- Tent and flooring
- Portable washrooms
- Transportation or valet
- Photography
- Stationery and signage
One misconception is that hosting at home will automatically cost less than booking a venue.
Sometimes it does.
But when you're bringing in tables, chairs, glassware, catering infrastructure, lighting, tents, flooring and staffing, a sophisticated private event can become comparable to—or even exceed—the cost of hosting at an established venue.
The difference is that you're creating something completely personal.
Is Hiring a Private Event Planner Worth It?
The larger or more elaborate the event becomes, the more valuable professional planning can be.
At a venue, there's already an established system.

Someone needs to understand how rentals, catering, florals, entertainment, staffing and guest flow all work together.
And ideally, the host shouldn't be answering vendor questions while getting dressed or worrying about whether the bar has enough ice while greeting guests.
You should be able to host your event without working your event.
